Our story

Why we started, and what we stand for

Apostille Depot grew out of a document and shipping business in the Boston suburbs. Day after day, clients walked in with the same frustrating problem. A birth certificate, a diploma, or an FBI background check that a foreign government simply would not accept. The apostille process confused people. The state offices were hard to reach, slow to answer, and unforgiving of small mistakes. A single error, like the wrong certified copy or a missing notarization, meant weeks of delay and often a second government fee.

We saw a clear way to help. In 2012 we built a service focused entirely on one thing: getting U.S. documents authenticated correctly the first time. Not as an add-on, not as a sideline, but as a specialty. Over the years that focus turned into deep, practical knowledge of how each state Secretary of State works, how the U.S. Department of State handles federal documents, and how embassy legalization works for countries outside the Hague Convention.

Today we handle the documents people care about most. The proof of who they are, where they were born, who they married, and whether they have a clean record. That responsibility shapes how we work. We review before we charge. We double-check before we ship. And we tell clients the truth about timelines instead of promising what the government offices cannot deliver. When you read the rest of this page, that is the standard to hold us to.

Our mission

Open the world to your documents

We see every document as a key to something bigger. A new life abroad, a marriage in another country, a degree recognized overseas, a business that crosses borders. Our mission is to make the apostille process simple, honest, and fast, so a piece of paper never stands between you and your plans.

That mission has a practical side and a human side. The practical side is accuracy, because in this work small details decide whether a document is accepted or rejected. The human side is access. International bureaucracy is intimidating, and the people who need help the most are often the least familiar with it. We explain things in plain language, recommend the option that fits your budget, and treat your records with the care they deserve.

What we do

Full-service document authentication, start to finish

We are a one-stop apostille service. That means we can take a document from a raw certificate all the way to fully authenticated and delivered, without sending you to three different vendors. We work directly with state Secretary of State offices and the U.S. Department of State, and we manage embassy legalization for countries that are not part of the Hague Convention.

Our services include Hague apostilles and non-Hague authentication, notary public service, certified and notarized translation in more than 100 languages, and worldwide courier return. We serve individuals and businesses in every U.S. state, and most clients work with us entirely by mail and email.

The documents we handle most often include birth certificates, marriage certificates, death certificates, FBI background checks, and diplomas and transcripts, along with powers of attorney, articles of incorporation, and single status affidavits. If your document is not on that list, ask us. We authenticate a wide range of public records.

What guides us

The values behind every order

These are not poster slogans. They are the standards we measure ourselves against on every document that passes through our office.

Customer first

We answer in plain language and recommend the option that fits your deadline and budget, even when it is the cheaper one.

Accuracy

Most apostille problems come from small errors. We check the issuing office, the certification, and the destination rules before we file.

Integrity

We give realistic timelines and real costs up front. No surprise fees, and no inflated promises about government processing.

Confidentiality

Your records are sensitive. We handle them with care and return them securely by the courier you choose.

If we ever fall short of these, we want to know. We would rather fix a problem and keep your trust than pretend it did not happen. That attitude is why so much of our work comes from referrals and repeat clients.

Meet the team

The people behind your apostille

Real names, real roles, real accountability. When you call, these are the people who handle your documents.

Hanson Webb, Director of Apostille Depot Director

Hanson Webb

Hanson leads Apostille Depot and has overseen document authentication at the Tewksbury office since the service began. He works directly with state Secretary of State offices and the U.S. Department of State, and he personally handles complex corporate orders and non-Hague legalization cases. When a deadline is tight or a case is unusual, clients often reach him by phone. His focus is simple: get the document right the first time so it is accepted abroad without delay.

Sarah Yvokive, Office Manager at Apostille Depot Office Manager

Sarah Yvokive

Sarah keeps every order moving. She coordinates incoming documents, courier returns, and client updates, and she is usually the person who walks you through what to send and when to expect it back. Clear communication is her priority, so you are never left guessing about the status of your file. If you have emailed us a question, there is a good chance Sarah is the one who answered it.

Nora Kamis, Quality Control at Apostille Depot Quality Control

Nora Kamis

Nora reviews each completed apostille before it ships. She checks that the certification matches the destination country's requirements, that names and dates are correct, and that nothing is missing. Her step is the reason our reorder rate stays low and documents are accepted on the first submission. Quiet, precise work like Nora's is what separates a reliable apostille service from a risky one.

Behind the three of us is a network of certified translators, notaries, and courier partners who help us deliver a complete service. We keep the core team small on purpose, because your documents deserve attention, not a conveyor belt.

Experience that protects you

Deep, practical expertise in document authentication

Apostille work looks simple from the outside and is full of traps on the inside. Over more than a decade we have learned where documents go wrong, and that experience is what you are really paying for.

State versus federal documents

Knowing which authority handles a document is half the battle. Personal records like birth, marriage, and death certificates are apostilled by the Secretary of State in the state that issued them. Federal documents, like an FBI background check, must go through the U.S. Department of State. Send a federal document to a state office, or the wrong state, and it bounces. We route every document correctly the first time.

Hague apostille versus embassy legalization

For the 120-plus countries in the Hague Convention, an apostille is enough. For countries that never joined, such as the United Arab Emirates and Qatar, an apostille is rejected and the document needs authentication followed by consular legalization at the embassy. Choosing the wrong path is the single most expensive mistake people make on their own. We confirm the right route before you order.

Certified copies, notarization, and translation

A laminated keepsake certificate cannot be apostilled. A notarization in the wrong state can stop an apostille cold. A missing translation can hold up an otherwise perfect document. We know the sequence each document needs, and we coordinate certified copies, notarization, and translation in more than 100 languages so nothing is missing when your file reaches the destination office.

Timing and country-specific rules

Some authorities want a document and apostille issued within a recent window, often three to six months. Order too early and you may have to redo it. We help you time your order to the deadline and flag country-specific quirks before they become problems.

Who we serve

The people and businesses we help

Our clients come to us at important moments. A move, a marriage, a degree, a deal. Here is who we work with most.

American expats

People relocating abroad who need an apostilled birth certificate and FBI report for a residency application. We assemble the full set so the file is complete on the first submission.

Golden Visa applicants

Investors applying in Portugal, Greece, Spain, and the UAE, where documents must be authenticated on a strict and recent timeline. We coordinate with your immigration attorney.

Couples marrying overseas

People marrying in Italy, Greece, or Mexico who need an apostilled birth certificate, a single status affidavit, and certified translation, prepared together as one order.

Businesses and students

Companies authenticating incorporation papers and powers of attorney, and students apostilling diplomas and transcripts for enrollment, teaching, and licensing abroad.

In practice

Real situations we solve every week

The best way to understand what we do is to see the moments people bring to us. These are the kinds of cases that come through our office, and the reason experience matters so much in this work.

The expat with the wrong copy

A client accepts a job in Madrid and sends us the birth certificate from their baby book. It cannot be apostilled, because it is not a current certified copy. During the free review we catch it, tell them exactly how to order the right one from their state, and apostille it the moment it arrives. They never pay for a document that would have been rejected.

The Golden Visa deadline

An investor needs an FBI background check apostille for a Portugal application, and the immigration lawyer needs it issued within a tight window. We process the federal apostille remotely, keep the timeline realistic, and deliver inside the deadline so the application is not held up.

The overseas wedding

A couple marrying in Italy needs an apostilled birth certificate, a single status affidavit, and certified Italian translations. Rather than chase three vendors, they send everything to us and we return one complete, matching package well before the ceremony.

The company expanding abroad

A business opening a subsidiary overseas needs apostilled articles of incorporation and a power of attorney on a closing schedule. We authenticate the corporate set in volume and coordinate with their legal team so nothing slips.

Destinations

Countries and destinations we work with

We prepare documents for destinations all over the world, and we know the difference between the ones that accept an apostille and the ones that require full embassy legalization. That distinction is decided by whether the country belongs to the Hague Apostille Convention.

For Hague members, an apostille is all you need. We regularly handle documents bound for Spain and Portugal, including residency and Golden Visa files, where recent issue dates and certified translations matter. We prepare apostilled records for weddings and residency in Greece, Italy, and Mexico, and for study, work, and citizenship across Europe and Latin America.

For countries outside the Convention, such as the United Arab Emirates, Qatar, and certain documents headed to China, an apostille is not accepted. Those documents need authentication by the U.S. Department of State followed by legalization at the country's embassy or consulate. We manage that longer chain so you do not have to learn it. Whatever your destination, tell us the country and we confirm the correct route before you order. You can see the full process on our apostille services page.

Your privacy

How we protect your documents

Your documents contain some of your most sensitive personal information: full names, dates of birth, addresses, and background records. We treat them accordingly. Physical documents are handled by our small core team and stored securely while in our care, then returned by the tracked courier you choose. Files you send for review are used only to process your order. We do not sell or share your information, and we keep our handling consistent with the protections described in our privacy policy.

This is part of why a verified, physical business matters. When you mail an original birth certificate or email an FBI report, you should know exactly who is receiving it. With Apostille Depot, you do.

Our commitment

Making the apostille process accessible to everyone

International paperwork should not be a privilege reserved for people who can afford expensive lawyers. A first-generation immigrant proving their identity, a couple planning a wedding abroad, a graduate chasing a job overseas, and a small business expanding into a new market all deserve the same clear guidance and fair pricing. That belief shapes how we price our service, how we explain each step, and how patiently we answer questions.

We are not a law firm and we do not provide legal advice. What we provide is reliable, affordable document authentication and honest information, so you can move forward with confidence. If we are not the right fit for your situation, we will tell you, and point you toward who is.

By the numbers

More than a decade of authenticated documents

Numbers tell part of the story. We opened our apostille service in 2012 and have handled documents for more than 2,200 clients since. We serve all 50 states and the District of Columbia, prepare documents for more than 120 Hague Convention countries, and offer certified translation in more than 100 languages. Pricing starts at $149.95 with the government fee included.

Behind each of those figures is a person with a deadline and a reason. A residency permit that depended on a clean FBI report. A wedding abroad that could not happen without an apostilled birth certificate. A degree that needed recognition in another country before a job could start. We measure our success by how many of those moments went smoothly because the paperwork was handled right. That is the work, and after more than ten years, it is still the work we care about most.

Our promise

What you can count on from us

Trust is earned in the details, so we put ours in writing. When you work with Apostille Depot, here is what we commit to on every order.

  • Careful, confidential handling of your documents from the moment they reach us to the moment they ship back.

If something goes wrong, we own it and fix it. That is the standard we have held since 2012, and it is why so many of our clients come back and send their friends and family.
